ALP Enlistment — How to Use This Site

A step-by-step walkthrough of the Alternative Learning Program enlistment site, for every kind of user: students choosing a club, advisers running one, and the coordinator overseeing all of them.

Every Grade 7–10 student uses these same five steps: register once, browse the ALPs, rank your top 3, then keep an eye on your status until you're placed.

1. Create your account

  1. On the login screen, click the Register (Student) tab.
  2. Enter your First Name and Last Name exactly as spelled on the official class list — order and punctuation don't matter, but both names must be found together.
  3. Pick your Year, then your Section — the section list only fills in after you choose a year.
  4. Add your email and a password of at least 6 characters, then click Create Account.
  5. If you see "We could not find a matching student name…", check your spelling or ask the ALP coordinator to check the class list.

2. Browse the available ALPs

  1. After logging in, scroll through Available ALPs to see every club and program on offer.
  2. Each card shows its icon, name, description, screening process, adviser, capacity, remaining slots, and how many students have already applied.
  3. An ALP that's already full is marked Full and won't appear in your choice menus below.

3. Submit your top 3 choices

  1. Scroll to Submit Your Top 3 Choices and pick a 1st, 2nd, and 3rd choice — three different ALPs.
  2. Click Submit Application.
  3. You're reviewed for your 1st choice first. If that adviser declines you, you're automatically queued for your 2nd choice, then your 3rd.

4. Track your application status

  1. Pending Review — you're currently under review at your current choice.
  2. Accepted — you've been placed! The card names your ALP.
  3. Not Placed — none of your 3 choices accepted you. The choice form reappears automatically so you can submit 3 new ALPs.

5. Read messages from your adviser or coordinator

  1. Once you're accepted into an ALP, any announcement your adviser sends the club appears under Messages for You, above the ALP list.
  2. The ALP coordinator can also message you directly at any time — including a broadcast to everyone currently "Not Placed" — and it shows up in the same place.

Your dashboard has six tabs. Applicants and Members are where you'll spend most of your time; Message Members is the fastest way to reach everyone in your club at once.

  1. Log in with the email and password given to you by the ALP coordinator.
  2. Your six tabs: Applicants, Members, Add Member, Message Members, Edit ALP, Edit Profile.

2. Review applicants

  1. Applicants lists every student currently queued for your ALP at their current choice.
  2. Click Accept or Decline for each; use the Year/Section filters to narrow a long list down.
  3. Declining a student automatically queues them for their next choice — or marks them "Not Placed" if that was their 3rd.

3. Manage members

  1. Members lists everyone already accepted into your ALP — use the Year/Section filters to narrow a long list down.
  2. Edit updates a member's name, email, grade, or section.
  3. Delete removes a member — they'd need to re-apply if this was a mistake.
  4. Export Approved Members PDF downloads an official letterheaded roster of your accepted members, ready to print or file.

4. Manually add a member

  1. Add Member enrolls a student directly into your ALP, skipping the queue — grades 7 through 12, email and section optional.

5. Message your members

  1. Message Members sends an announcement to everyone currently accepted into your ALP.
  2. If you advise more than one ALP, choose which one first, then write your message and click Send Message — you'll see how many members received it.
  3. Check Also send to their CVISC email to also deliver the message by email, in addition to the in-app announcement.
  4. Your Sent Messages history is below. Anything the coordinator sent you personally, or to all advisers, appears above under Messages from the Coordinator.

6. Edit your ALP & profile

  1. Edit ALP updates your club's description, screening process, capacity, or icon — click any icon in the picker, or type an emoji, to change it.
  2. Edit Profile changes your display name or password.

The coordinator sees and can act on everything: every application, every ALP, the official roster, every student account, and messaging across the whole program.

2. Review all applications

  1. Applications lists every student's application system-wide, with Year/Section/ALP/Status filters and a "not placed" counter. Not Placed and Pending Review rows sort to the top.
  2. Click Export CSV to download the current filtered list, or Export Approved Members PDF for an official letterheaded roster of accepted members (optionally filtered to one ALP).
  3. Any student marked Not Placed gets a Select New Choices button so you can submit 3 new ALPs on their behalf.

3. Manage ALPs, roster, and student accounts

  1. Manage ALPs creates a new ALP — icon, name, description, screening process, capacity, classification — and assigns an existing adviser, or + Create new adviser to make one on the spot. Edit or delete any ALP below (deletion is blocked while students still reference it).
  2. Manage Roster adds, edits, or deletes entries in the official class list — the list that gates student registration.
  3. Manage Students adds, edits, or deletes any student account directly, bypassing the roster check.
  4. Add Member manually enrolls a student into any ALP, regardless of who advises it.

4. Send a message

  1. Send Message lets you pick one of four targets: a specific person (any adviser or student), all advisers, all accepted members of an ALP, or all "Not Placed" students.
  2. Write your message, optionally check Also send to their CVISC email to deliver it by email too, then click Send Message. Your Sent Messages history below shows everything you've sent and to whom.

5. Edit your profile

  1. Edit Profile changes your display name or password.
